Admin overview, customers and orders

Monitor the business on the Overview page, create and support customer accounts, then reconcile, confirm, reject or refund orders in the Admin area.

What is the Admin area for?#

The Admin area (path /admin) is where the SaaS owner runs the LDPage business: system-wide figures, customer accounts, payment reconciliation and plan activation. Open it from the account menu in the top-right corner › SaaS admin (Quản trị SaaS). The left sidebar groups Business (Customers, Orders, Plans, Coupons, Referrals), Customer care, Content and System; the Back to app (Về ứng dụng) button at the bottom returns you to the page builder.

The owner (the admin account created during installation) has every permission. Staff only see pages and buttons allowed by their role, for example Customers › View, Lock / unlock, Impersonate, Reset password, Delete account; Orders › Process orders, Refund. Sensitive actions also require re-entering the admin password (see section 4).

1. Read the Overview page#

    The Overview (Tổng quan) page refreshes every minute; click Refresh (Làm mới) in the top-right corner to update immediately. The line below the title shows the last update time.

    The To-do (Việc cần xử lý) strip has 4 tiles: orders awaiting confirmation, tickets awaiting reply, abuse reports and plans expiring within 7 days. Tiles with work are highlighted; click one to jump to the right page. When everything is 0, the heading shows All done (Đã xử lý hết).

    Six KPI cards: Customers (with new sign-ups in 30 days), MRR (estimated) and active plans, Revenue this month (compared with last month), Pages created (number published), Leads, and AI cost this month (estimated from the unit prices set in AI Provider).

    The 6-month revenue chart counts paid orders net of refunds; the new sign-ups chart covers the last 30 days. Hover a bar to see the figure for that day or month.

    Scroll down for Latest orders, Plans expiring within 7 days, Top customers by total paid and the customers with the highest AI cost this month. Remind expiring customers to renew early: once the plan and grace period end, pages/domains above the default plan limits are removed automatically.

    The System configuration check (Kiểm tra cấu hình hệ thống) block lists errors, warnings and tips (SMTP, AI, payments, seller information, default plan…). Click a line to open the matching settings; Send test email (Gửi email thử) sends a message to the admin mailbox to verify SMTP.

2. Find and filter customers#

    Open Business › Customers (Khách hàng). The five cards at the top are Total customers (excluding deleted accounts), Active, Paying (paid plan still valid), New in 30 days and Locked.

    Use the tabs All, Active, Locked, Deleted (Tất cả, Hoạt động, Bị khoá, Đã xoá) to filter by account status; the number next to each tab is its count.

    The search box (email, name or phone) filters as you type. Combine it with All plans (Mọi gói), Paid & free (Trả phí & miễn phí) and a sign-up date range. Click Clear filters (Xoá lọc) to reset.

    The table shows Customer, Current plan (with expiry), Workspace, AI this month, Status, Signed up and Actions. Click a row to open the detailed profile; click the Customer or Signed up header to change sorting.

    Tick several rows to show the bulk bar: Lock, Unlock, Copy email, Export CSV. The Export CSV (Xuất CSV) button at the top exports exactly the filtered list (or everything when no filter is set).

3. Create a customer account#

Use this when you sell directly, migrate customers from another system or set up an account on a customer's behalf. Self-registered customers still appear in the list as usual.

    Click Create customer (Tạo khách hàng). The Create customer account dialog opens.

    Enter the customer's login Email.

  3. 3

    Recommended: leave Password empty and keep Send password setup invitation (recommended) ticked. The customer receives a link to set their own password, valid for 3 days; you never know their password.

    To set a password yourself and send it through another channel, untick the invitation; the Password field then requires at least 10 characters. The circular-arrow button inside the field generates a random password.

    Fill in Display name, Phone (optional) and choose the Initial plan (Gói khởi tạo): Default plan or a specific plan.

    Click Create account (Tạo tài khoản). The new account appears at the top of the customer list.

4. Per-customer actions and the customer profile#

Click the … button in the Actions column (or the buttons at the top of the profile) to open the action menu. Actions that affect account ownership ask for the admin password again.

    Open profile: the detail page shows warnings (locked, plan expiring, many failed logins, unverified email), lifetime revenue, AI cost, tenure, usage against plan limits, recent pages, latest orders, workspaces, current plan, internal note, security & account, the security log and plan history.

    Quick edit (Sửa nhanh): change Display name, Phone, the Internal note (visible to the admin team only) and the login email. After an email change the customer must verify the new address (a link is sent); if you tick that the customer confirmed ownership of the new email in person, a reason is required. The old address receives a warning and the customer's current sessions are invalidated.

    Assign plan manually (Gán gói thủ công): choose the Plan and Duration (1 month, 1 year, Unlimited) and click Assign plan. No order is created and the running plan is replaced; useful for support, promotions or direct sales.

  4. 4

    Impersonate (Đăng nhập thay khách): your browser switches to a support session as the customer for up to 1 hour. During it you cannot change the customer's password, email, 2FA, devices or payout account, and every action is logged with your name. Return with the Back to admin account button on the floating bar. Not available for locked or deleted accounts.

    Send password reset link: the customer gets an email with a link to set a new password (valid 1 hour) and is signed out everywhere. Set temporary password (at least 10 characters) is for hands-on support only; the customer is emailed a reminder to change it.

  6. 6

    Lock account (Khoá tài khoản): a reason of at least 5 characters is required. The customer is signed out of all devices and emailed the reason; published pages keep running (use Admin › Moderation to take pages down). Unlock lets the customer sign in again.

    Delete account permanently: if the customer still has a paid plan, pending orders, unpaid commission or open tickets, you are warned first. You must retype the exact email to confirm. Workspaces, pages, forms, leads and files are deleted permanently and personal data is anonymised; orders and revenue are kept for reconciliation. Money already paid is not refunded automatically.

Admin password re-confirmation: for impersonation, password resets, email changes and account deletion, LDPage opens the Confirm admin password dialog (and asks for a two-factor code if the admin account has 2FA). After confirming, you have 10 minutes to perform other sensitive actions without re-entering it.

5. Reconcile and confirm orders#

    Open Business › Orders (Đơn hàng). The four cards are Awaiting confirmation, Unmatched transactions, Net received and Refunded; click a card to jump to that list.

    Status tabs: All, Awaiting payment, Paid, Refunded, Failed, Canceled, Expired. Narrow further with the search box (order code, email, name, transaction ID…), All methods (Bank transfer, PayOS, Conversion 0đ), All time or a custom date range.

  3. 3

    For a pending order, open … › Confirm payment received (Xác nhận đã nhận tiền). Pick an incoming bank transaction that may match (amount ≥ order value, last 30 days) or enter the transaction ID / statement reference (required), add a note if needed, then click Payment received — activate plan. Only confirm once the full amount is in your account; a transaction ID can be used for one order only.

    Customer paid after the order expired or was canceled: use Confirm late payment (Xác nhận tiền về muộn) on that order to activate the plan.

  5. 5

    No money received or wrong amount: choose Reject order (Từ chối đơn) and enter a reason; the plan is not activated for that order.

    You can tick several pending orders to Confirm or Reject in bulk; bulk confirmation requires a reconciliation reference.

    Click a row to see Order details: customer, plan, method, confirmation evidence, activated plan, referral commission, history and related transactions/webhooks.

    Export CSV in the top-right corner exports exactly the filtered list.

6. Refunds and unmatched transactions#

    For a Paid order, choose … › Refund (Hoàn tiền). Enter the refund amount (up to what remains on the order). A full refund moves the order to Refunded, returns the coupon use and cancels unpaid referral commission; a partial refund keeps the order Paid and deducts the refunded part from revenue.

    Under Customer's plan choose Keep plan (refund only), Deduct this order's period (shorten by exactly the cycle the order added) or End plan now (customer returns to the default plan).

    Enter a Reason (required, included in the email to the customer), click Continue, then Record refund. A 0đ order (coupon or conversion) shows Revoke (Thu hồi) instead because there is no money to return, only the plan to revoke.

    Click the Unmatched transactions card to see money that reached your account (via SePay, Pay2S, PayOS) but matched no order: underpayment, wrong transfer note, payment for a canceled order… The table shows Amount, Transfer note, Source and Reason not matched.

    Choose Assign to order (Gán cho đơn), search by order code or customer email (only pending, expired or canceled orders), then click Assign & activate. A transaction smaller than the order value cannot be assigned.

  6. 6

    If the money is not a plan purchase or you already refunded it manually, choose Ignore (Bỏ qua) and give a reason.

The system only records refunds; it never sends money. Transfer the refund to the customer through your bank before or right after recording it.

Notes and troubleshooting#

    No SaaS admin menu item: the signed-in account is a customer, not the owner or an admin staff member.

  2. 2

    Impersonate is greyed out: the customer account is locked or deleted.

  3. 3

    The password prompt keeps appearing: each confirmation lasts only 10 minutes; if you click Cancel, the sensitive action does not run.

  4. 4

    Bank-transfer orders are not activated automatically: check the reconciliation gateway and receiving account in Admin › Settings › Payments, then review Unmatched transactions to assign manually.

  5. 5

    Deleting a customer does not refund them: handle refunds on the Orders page first if needed.
